MiiiA 8.1 Update

The following is a list of some of the updates made in this release.

Horizontal Tabs

When navigating records, horizontal tabs allow us to give you faster access to more info, while moving less-used fields out of the way. Previously tabs would expand/collapse but sit vertically, meaning more scrolling up/down.

   

 

Entity Icons

You will notice that when you have a record open on-screen you will see the entity icons displayed top-left. This is a visual reminder of what record you are looking at. We’ve found visual cues are an easier way for you to know what you are looking at. Note, this is not displayed for Activity-type records like Phone Calls, Tasks, Appointments, File Notes.

 

 

Dashboard / LaunchPads

We are introducing the first two examples of a new type of system dashboard. These are known internally as LaunchPads but are simply a dashboard with tiles that allow many common items to be grouped together. Our aim is to offer certain roles within the business a more convenient place to jump to many different views/dashboards/functions.

This is the first step on our journey to allow us to group like-dashboards and functions together, reducing clutter, and hopefully encouraging more inquisitive exploration.

We have removed direct access to some of the Dashboards now linked to from these LaunchPads. A list of current tiles/functions is recorded below for your reference.

 

◐ ADVISER DASHBOARD

A collection of the most important things to you need as an Adviser to get the MiiiA job done.

For ADVISERS we recommend using the SET AS DEFAULT button (in the ribbon once you navigate to the LaunchPad) to make this your new home screen.

◭ PRACTICE COMPLIANCE

A central hub to monitor if things are “getting done” in your business. Hygiene is an important part of compliance.

Contact Form

The Contact form has been tweaked for an easier user experience.

A new Info-Bar along the top shows some key stats like the client’s Age and Next Birthday, the Last Phone Call and Appointments recorded etc.

The “Vitals” section is always visible, showing phone numbers addresses etc.

 

Some fields and data have been moved. For example:

  • Next Disclosure / Opt-In fields now reside in the PREFERENCES Tab
  • Do Not Allow (Bulk Email, Mail etc) now reside in the PREFERENCES Tab
  • Call Cards are shown in the MARKETING Tab

 

 

Lodgment Form

The Lodgment form has been upgraded both for an easier user experience, and enhanced functionality for reconciliation etc.

The new Status-Bar along the top shows what state your record is in.

New REV Start / End fields allow forecasting of inbound revenue and also facilitate the semi-automatic allocation of funds received after importing Statements.

If you’re importing Statements, you can see any Transactions already automatically allocated to your Lodgment via the Allocated Tab. Any Transactions that may match your Lodgment, and are available to allocate, are shown in the Unallocated Tab.

  

 

Statement Form

The Statement records have been updated to include a new Status to help indicate what state the record is in. eg “Ready for Import” – when you need to upload the CSV file, and “Check Unmatched” when it’s finished importing, ready for you to fix any unmatched transactions.

To upload the CSV file you can now use our Drag’n’Drop area and the system will start the import process automatically.

  

 

Transaction Matching

We have upgraded the Transaction matching capabilities. Automatic matching has been improved, along with the manual fixing of unmatched Transactions. You will notice that the system will attempt to search for the client name (based on data from the statement), and will also automatically create a Policy Number for the selected client if desired.

 

 

Bulk Activities

It’s now possible to “clone” or generate small to large amounts of activity records across many Contacts. This is particularly useful, after-the-fact, if you wish to create a File Note across all clients that you sent out a letter for example. All that is required is to Target either an Advanced Find Query or Marketing List to define WHO you wish to create these under, and then create the File Note itself, then hit RUN.

 

 

AFDS  /  Revenue Catalog

The fee disclosure statement records (AFDS) have been updated. Once generated each month, these allow you to generate the letters with summarised revenue information. These records give you a historic record of activity.

By default, our system calculates ALL revenue you have received for a client within the period. It is now possible to exclude particular providers, products or specific transaction types from the resulting revenue calculations. This is accessed via the new Revenue Catalog entity in our Configuration area. This is done at your own risk.

Opt-In

New Opt-In records now behave much the same as our AFDS records. Once generated each month, these allow you to track client responses and manage your obligations. These records give you a historic record of activity.

Trails

Task Trail functionality has been improved.

Trail Steps can now be created with either a hard-coded user as Owner, or a Dynamic Owner.

Eg. If you wish to create a Task for “Dan” set the Owner = Dan.

Eg. If you wish to set the Adviser (and this changes depending on the client or file) then set  the Dynamic Owner = CONTACT Owner or AccMgr/CSM, FILE Owner or AccMgr/CSM

 

 

Timers

The client experience is everything. Don’t forget to talk to us about setting your FILE Timer requirements. There are a few great dashboards to analyse your average stage timers (under / over your expectation) plus also red flag Files that have exceeded the number of days you set.

Identify Contacts who are overdue/due for Fee Disclosure Statements, and generate them.

Lists all Unmatched Transactions from revenue imports. Must be kept up to date if you are using the Fee Disclosure Statement features.

Shows all existing Statement records, allowing quick navigation to start importing your revenue.

Jumps to all Lodgment views. Defaults to All Lodgments where Work Started = This FY

Monitor all Appointments requiring Activity Fields and Overdue Outcomes
